House Rules and Stay Policy

1. CHECK-IN/ CHECK-OUT TIME

Check-in is 4:00 PM EST, and Check-out is 10:00 AM EST.

—Early Check-In/ Late Check-Out Requests—
We are unable to guarantee early check-in/ late check-out requests but will try our best to accommodate.

—Check-Out Time—
Failure to checkout at 10:00 AM may prevent our housekeeping team from preparing the home for the next guest. If for any reason you are running late, please send us a message ASAP via text, inbox messages, or email to minimize the chance of incurring a late check-out fine. Otherwise, failure to check out by 10:00 AM will result in the following penalties: (1) $25/hour (weekday), $50/hour (weekend) (2) the cost of ad-hoc cleaning services, and (3) the cost of having to cancel the next guest’s reservation, should the late departure cause the house to not be ready for the next guest by 4:00 PM or incur additional costs to the host for ad-hoc cleaning services. We have never had to impose such a fine – please just communicate with us!
— Early Checkin/ Late Checkout Requests —

Early check-in and late check-out requests are not accepted on days with same-day turnarounds. For other days, while we cannot guarantee availability, we will try to accommodate requests based on the following rates:

Up to 2 hours: $100
2 to 4 hours: $250
Over 4 hours: Full nightly rate
All approvals for early check-in and late check-out must be given by the host to the guest in writing, via text, message inbox, or email, to be considered approved and valid.

2. PRE-ARRIVAL GUEST REGISTRATION

We request the guest to please send a picture of their photo ID, preferably within the first hour of booking, to the host via Airbnb/VRBO Messages along with full legal names and age (or birth year) of all additional guests. Also, provide an emergency contact name and number.

3. AGE LIMIT

You must be 25+ to book this home. No refunds will be issued if this requirement is not met.

4. CHECK-IN PROCEDURES

The property’s front door, back doors and the units are equipped with an electronic keypad, and you will be provided with an access code 24-48 hours before the arrival date, provided you have completed the “Pre-Arrival Guest Registration” and have confirmed to the Host that you agree to the House Rules and have communicated these rules to all guests included in this reservation.

5. PARKING

There is permit parking on the street and we provide two parking passes. Additional free parking is two blocks from the home. We recommend AWD, or chains during winter when it snows/ices.

6. HEALTH AND SAFETY

—No Smoking Indoors—
This home is smoke-free and cannabis-free. By booking this home, guests agree to the following schedule of fines:
(1) A minimum fine of $500+ (for smoke extraction, odor extraction, and professional carpet cleaning) and any additional costs for removing smoke odor from the curtains, cleaning upholstered furniture, and replacing any items that have been damaged due to cigarette burns.

—No Candles / No Fire—
For safety reasons, no fires inside or out (except the outdoor fireplace or fire pit).

Outdoor fireplace: We have an outdoor firepit in the backyard. For the backyard firepit, please bring your own fire logs. Please extinguish the outdoor fire by 10 PM.

Please use the fireplaces responsibly and AT YOUR OWN RISK!

—No Mylar Products—
For safety reasons, guests may not bring mylar products (e.g., mylar balloons, glitter, mylar/metallic ribbons, etc…). These items conduct electricity, are a fire hazard, and are strictly prohibited.

—Porch—
For safety reasons, guests are prohibited from relocating furniture, whether from inside the home or in the backyard. Guests also agree not to climb on the furniture or behave in any way on the porch that compromises guest or neighbor safety.

—Windows—
This historic estate boasts numerous original windows dating back early 1900s, some of which are particularly delicate. To ensure both your safety and the preservation of the property’s historic heritage, we kindly ask that you refrain from opening or meddling with any windows unless it’s an emergency. Guests will incur a $500 penalty for tampering with any window, along with any associated window repair costs.

—Doors—
For safety reasons, guests agree never to vacate the premises while leaving the home’s doors open or unlocked. Leaving the doors open may result in (1) animals, insects, and debris entering the home, (2) damage to the home from weather, (3) strangers entering the home, and (4) other risks that may compromise guest safety, theft, or damage to the home. Guests found to be in violation of this House Rule will incur a minimum charge of $250 to cover the costs of any additional cleaning and the full costs of any other related damages.

—No Weapons—
Guests are not permitted to bring any weapons of any kind into this home.

7. ACCESS

During your stay, you will have access to the rental home and its private amenities. Areas that are non-accessible are the owner’s closet and any spaces explicitly marked as private or under construction. The guest will be penalized $500 for intentionally accessing non-accessible areas. Additionally, tampering with any locks will result in a $250 fine plus any damages.

8. PETS

House-trained pets are welcomed; We provide basic pet supplies such as bed, food and water bowls, toys and poop bags. We charge $200 for 1st pet and $150 for the 2nd pet. (max 2 pets, 50lbs max weight limit each). Please note that Airbnb/ VRBO only charges for one pet so if you will bring two (2) we will request the additional fee via the resolution center or direct pay. We ask guests to bring a pet cage/enclosure to keep under control.

Guests must clean up all waste or a fee of $35 per pile shall be charged. Pets shall not be allowed to roam outside unsupervised as other animals in the vicinity may harm your beloved pet.

A minimum fine of $300+ (for upholstery and professional carpet cleaning) to replace any items that have been damaged by the pet.

9. PROPERTY AND NEIGHBORHOOD RULES

Guests shall abide by the neighborhood rules: No littering, no loud talking, music, or disturbances, no trespassing, no smoking, no fireworks AT ANY TIME. Also, please make sure that the noise levels are under control, especially outside, during the QUIET HOURS between 10 PM and 7 AM.

10. VISITORS/ ADDITIONAL GUESTS/ MAX CAPACITY

!!! NO PARTIES OF ANY KIND!!!

—Additional Guest(s)/ Visitors—
The home can comfortably sleep up to 12 people. Any visitors who are not registered as part of the reservation will be considered a violation of our House Rules and Policies. If you need to have additional people visit or stay at the house, please let the host know ASAP via Airbnb/VRBO messages, and we can discuss if it’s possible to accommodate or not. By booking this home, the guests acknowledge that unregistered guests (children or adults) are a violation of House Rules and agree to pay $200/person fee + additional cleaning fee.

11. TRASH

Please place all trash in trash bags and place them in the trash containers on the backyard. Should you need additional bags, let us know.

12. AMENITIES

All amenities in the home are private for your use. Detailing a few here below:
Backyard: Hot tub, fire pit, BBQ grill, outdoor games, and so much more!
Porch: A cozy porch/ veranda area for relaxation at the front of the house.
Coffee Bar: An exotic coffee bar available for shared use in the main level lobby.
Gaming Zone: A designated area for gaming activities in the basement.
Speak-Easy: A designated area in the basement.

—Towels & Toiletries—
Our cleaning service provides start-up supplies, including paper towels, dish soap, dishwasher soap, kitchen trash can liners, toilet paper, hand soap, and bathroom trash liners. Depending on the length of your stay, you may need to purchase additional items when the initial supply runs out.

—Kitchen Appliances & Kitchenware—
The home comes with a fully stocked kitchen. Exact items may vary but generally include cookware (pots and pans), bakeware (baking sheets, mixing bowls…), cooking utensils (spatula, cooking spoon, etc.), flatware (forks, knives, spoons), drinkware (cups, glasses), dishware (plates, etc.), spices, cooking oil, coffee, and appliances (4-burner gas stove, fridge, microwave, coffee maker, etc).

Please note that the availability of all kitchen items and appliances is subject to change due to reasons outside of our control (previous guest damage, malfunction, theft, etc.), and replacements may not be readily available during your stay due to the time required for repairs and replacements through our vendors. Unavailability of kitchen appliances (e.g., stove, fridge, microwave, coffee maker, toaster, etc.) during all or part of a stay will not be grounds for any refunds.

—Furniture, Fixtures, and Decorative Items—
Please do not move, rearrange, or remove furniture, fixtures, decorative items, or any other items in the home. All costs associated with replacing any missing or damaged items will be the financial responsibility of the guests.

13. INTERNET/ CABLE
High-Speed Wireless Internet and SMART TVs w/ Roku, are available to you.

14. SECURITY

For your and neighborhood security, we have a Ring Floodlight security camera at the front facing the street and another Ring Floodlight security camera facing the side road and the back parking gate of the property. NO cameras in the porch, backyard, hallways or inside the house.

15. REFUNDS

We do NOT offer any refunds for weather, natural disasters, or during major holiday weeks and major local events (e.g., DERBY, BOURBON & BEYOND, THUNDER OVER LOUISVILLE).

16. ITEMS LEFT BEHIND

We are not responsible for any items left behind after check out. You are welcome to reach out regarding forgotten belongings, but we cannot guarantee their return. We recommend you do a quick 5-minute walkthrough after you’ve packed up your vehicle and everyone is out of the property to spot any accidentally forgotten items.

17. DISCLAIMER

As part of your stay, we are happy to offer referrals to local businesses and concierge service providers such as transportation companies, private chefs, massage therapists, and restaurants in the area to help make your experience more enjoyable.

These services are provided by independent third parties and are not managed, employed, or supervised by us.

While we may recommend these providers based on positive experiences or guest feedback, we do not guarantee the quality, safety, pricing, or availability of their services.

We are not liable for any acts, omissions, delays, cancellations, injuries, damages, or losses that may occur in connection with services provided by these businesses.

In some cases, we may receive a referral fee, commission, or discount from these providers as part of their referral program. This does not affect your cost or our recommendations.

We highly recommend you do your own due diligence before engaging with any third-party service provider we refer.

By choosing to engage with any third-party service provider based on our referral, you acknowledge and agree that your use of such services is entirely at your own discretion and risk.

18. INDEMNIFICATION AND LIABILITY WAIVER

The Guest(s) agree to indemnify, defend, and hold harmless the Owner, its agents, employees, and representatives from any and all claims, damages, liabilities, costs, and expenses (including reasonable attorney fees) arising from or related to any injury, loss, or damage to persons or property occurring during the Guest(s)’ stay at the rental property, regardless of the cause.

The Owner shall not be liable for any accidents, injuries, illnesses, or losses incurred by the Guest(s) or their visitors during the stay, including but not limited to the use of the hot tub, swimming pool, fire pit, or any other facilities on the property. The Guest(s) acknowledge that they assume full responsibility for their own safety and the safety of their guests and agree to exercise caution during their stay.

By booking and staying at the property, the Guest(s) acknowledge that they have read and understood this waiver and agree to release the Owner from any and all liability, to the maximum extent permitted by law.

Please note:

STRICT CANCELLATION POLICY APPLIES TO DERBY:

1) DERBY 2026 (April 23rd – May 4th, 2026) and BOURBON & BEYOND (Sept 11th – 14th, 2026): 100% Refund if canceled at least 6 months before arrival, 60% refund if canceled 3-months before arrival and NO REFUNDS, if canceled less than 3-months before arrival date.

2) For cancellations of bookings made on platforms other than Airbnb, a Stripe card processing fee of 3% will be deducted from the total refund.
